How to create a team for your ScaleEdges store

Invite collaborators with their own ScaleEdges account, give each one a role with only the access they need, and keep sensitive settings protected.

A team lets other people help you run your ScaleEdges store without ever sharing your password. Each teammate signs in with their own ScaleEdges account, and you give them a role that defines exactly what they can see and change. You set it up from Settings → Team, and teams are available on the Mover plan (up to 3 members) and on the Shaker and Enterprise plans (unlimited members).

Why create a team instead of sharing your password?

Sharing your password gives full access to everything: payouts, billing, account deletion and your personal security settings. A team gives each person only what their work requires.

With a ScaleEdges team:

  • each person has their own login, protected by their own password and two-factor authentication;
  • permissions are enforced on the server and change immediately when you edit a role;
  • sensitive settings stay with you: account security, ownership, deletion, billing, payout connection and other high-risk settings can never be delegated;
  • you can remove access at any time, without changing your own password.

What do you need before creating a team?

Check these three points first:

  1. A plan that includes team members. The Starter plan is a solo account. Mover includes up to 3 team members, and Shaker and Enterprise include unlimited team members. Compare plans on the Pricing page.
  2. Your own security PIN. Inviting people, changing roles and removing members are protected actions that ask for your six-digit security PIN. The PIN requires two-factor authentication. Follow How to secure your ScaleEdges account to set up both.
  3. Your teammates' ScaleEdges accounts. Each person must create a free ScaleEdges account before you invite them, and give you the email address they use to sign in.

How do you invite a teammate?

  1. Open Settings → Team.
  2. Select Invite a teammate.
  3. Enter the teammate's ScaleEdges account email.
  4. Choose a Role. You can change it later.
  5. Select Send invitation.
  6. Enter your six-digit security PIN to confirm.

The invitation appears in the teammate's ScaleEdges dashboard. No email is sent, so let them know to check their dashboard. The counter next to the invitation form shows how many seats you are using out of your plan's limit.

Until they respond, the person appears in your Members list with an Invitation pending badge. Select Cancel invitation if you change your mind.

How does your teammate accept the invitation?

  1. The teammate signs in to their own ScaleEdges account.
  2. They open the notification, or go to Settings → Team, where the Store invitations card lists pending invitations.
  3. They select Accept, or Decline.

Once accepted, your store appears in the store switcher of their profile menu. They use it to switch between their own store and yours. You are notified when they respond.

Which role should you give each teammate?

ScaleEdges includes seven ready-to-use roles:

RoleBest for
AdministratorFull operational access with team visibility. Membership and permission changes stay with the owner.
Store managerDay-to-day store operations, without billing, team changes or sensitive settings.
Marketing specialistCreating and managing campaigns, without access to sales, customers or store settings.
Review moderatorReviewing, publishing, replying to and removing product reviews.
AccountantBroad read-only visibility across commercial and editorial activity.
Website designerEditing the website and its visuals, with read-only product context.
Customer supportHelping customers and moderating reviews, without financial analytics or product changes.

Give each person the most limited role that lets them do their job. Select View role permissions below the member list to compare exactly what each role can do.

How do you create a custom role?

If no built-in role fits, create your own:

  1. In Settings → Team, select Create a new role.
  2. Enter a Role name and a Description.
  3. For each area, choose No access, View only or Full access. The areas are: Dashboard, Products & collections, Sales & orders, Customers, Payment settings, Payout account, Analytics, Product reviews, Marketing, Communication & blog, Website builder, Image gallery, Store settings, Sensitive settings, Team management, and Plan & billing.
  4. Select Create role, then confirm with your security PIN.

Sensitive settings and team management stay locked for custom roles. Your new role then appears in the Role list when you invite or edit a member.

How do you change a role or remove a teammate?

In the Members list:

  • To change a role, choose the new role next to the member, select Update, then enter your PIN.
  • To remove a member, select the trash icon (Remove access), then enter your PIN. They lose access to your store immediately; their own ScaleEdges account and store are not affected.

A teammate can also leave your store at any time from Leave this store in their own Team tab.

How do you require two-factor authentication for your team?

You can ask every teammate to protect their account with two-factor authentication and a security PIN:

  1. In Settings → Team, select the gear icon (Team security requirements).
  2. Check Require two-factor authentication, Require a security PIN, or both.
  3. Select Save security requirements and confirm with your PIN.

Members who do not meet the requirements show a No 2FA or No PIN badge, and ScaleEdges asks you to confirm before inviting someone who does not meet them. Nobody is locked out. The complete walkthrough is in How to secure your ScaleEdges account.

Frequently asked questions about ScaleEdges teams

How many team members can I add?

It depends on your plan: none on Starter, up to 3 on Mover, and unlimited on Shaker and Enterprise. Pending invitations count toward your limit.

Does my teammate need a paid plan?

No. A free ScaleEdges account is enough to join your team. Your plan determines how many people you can invite.

Why did my teammate not receive an email?

ScaleEdges does not send team invitations by email. The invitation appears in their dashboard. Make sure you entered the exact email address they use to sign in to ScaleEdges.

Can a teammate see my payouts or delete my store?

No. Account security, ownership, deletion, billing, the payout connection and sensitive settings are owner-protected and can never be delegated, even to an Administrator.

Can I be a member of several stores?

Yes. Every store you join appears in the store switcher of your profile menu, next to your own store.
