Sell 1:1 coaching or group programs, collect applications, approve clients before payment and track every session.

The Coaching product type lets you sell private sessions or group programs. You choose how clients join: they can pay immediately, fill in a short form first, or apply and wait for your approval. Then you follow each client's sessions from your dashboard.

Create a coaching product

  1. Open Products → New product.
  2. Under Choose product type, select Coaching and select Continue.
  3. Enter a title and, optionally, a cover image.
  4. In the Presentation tab, write the description and set the Price.

The Coaching setup card appears below the description.

Describe your sessions

In Coaching setup:

  1. Choose the Format:
  • 1:1 coaching: private sessions with one client at a time;
  • Group program: several clients follow the program together.
  1. Set Sessions included, from 1 to 500. Leave it empty if you do not count sessions.
  2. Set the Session length in minutes.
  3. Optionally set a Program length in weeks.
  4. Choose Where sessions take place: Video call, Phone call, In person or Set when the client books.

Choose how new clients join

Under How do new clients join?, select one mode:

  • Instant checkout: clients pay right away and get access immediately;
  • Application, then checkout: clients answer a few questions, then go straight to payment;
  • Application with your approval: clients apply, you review each request, and only approved clients receive a link to pay.

Build the application form

With either application mode, an Application form appears. Name and email are always asked.

  1. Optionally write an Introduction that tells applicants what you are looking for and what happens next.
  2. Select Add a question, or pick one of the suggested questions such as What would you like to achieve with this coaching?
  3. Choose the answer type: Short answer, Paragraph, One choice, Several choices or Phone number.

You can add up to 20 questions. After the first save, Preview opens the form as applicants see it.

With Application with your approval, also set Payment link valid for: the number of days an approved client has to pay, from 1 to 60. The default is 7 days.

Set the start date and capacity

Under When does coaching start?:

  • When the client enrolls: each client starts on their own date. Best for ongoing 1:1 coaching;
  • On a set start date: everyone starts together. Enter the Start date; client content opens on that date.

Optionally set Enrollment closes to stop new enrollments at a given date, and Maximum number of clients to limit the places. Only current clients take a spot: refunded and completed clients free theirs. Enable Show the remaining spots on the product page to display the places left.

Dates use your store's time zone.

Open the Content tab. The Scheduling & access card appears above the page editor:

  • Booking link: your Calendly, Cal.com, Google Calendar appointment page, TidyCal or similar link. Clients can book while they have sessions left;
  • Button label: the text of the booking button, such as Book a session;
  • the call link or address, depending on where sessions take place. A single link becomes a Join the session button.

Only enrolled clients see these links, at the top of their coaching space. Below them, add pages with your welcome message, worksheets, files or recordings, as for any product.

Offer several coaching options

Enable Create multiple versions in the Presentation tab to sell several options, for example a 1-hour session and a 5-session package. Each version has its own price, sessions, length, capacity, links and client content.

Review applications

Open Sales → Coaching. The page shows your active clients, sessions this week and applications to review.

Open an application to read the answers and previous applications from the same email. Then:

  • Approve and send the payment link: the client receives a personal payment link by email. You can add a personal message. The link is also shown once so you can send it yourself;
  • Decline the application: optionally with a message, sent by email when Email the applicant is selected.

If enrollment is closed or all spots are taken, an approved client cannot pay until you reopen enrollment or raise the capacity.

Track clients and sessions

Clients appear in Sales → Coaching as soon as their payment is complete. Open a client to:

  • add a session with its date, time and an optional note;
  • mark each session as Scheduled, Completed, No-show or Canceled;
  • change the Sessions included for this client, for example to offer a bonus session;
  • write Private notes that only you and your team see;
  • Mark as completed when the coaching ends.

Scheduled, completed and no-show sessions use a credit. Canceled sessions give it back. When all included sessions are used, raise the sessions included for this client to add another one.

Good practices

  • Use an application form for high-ticket coaching: it filters requests and helps you prepare the first session.
  • State clearly in the description what is included: number and length of sessions, format, support between sessions and refund conditions.
  • For group programs, set a start date and a capacity, and show the remaining spots to create urgency.
